The Office of Marketing and Public Relations leads the statewide peer team of college public relations directors, providing publications, news releases and other tools to assist in local public relations and student recruitment efforts. The office also fully participates in systemwide strategic planning initiatives designed to achieve the KCTCS vision and mission

An Overview of Services

Marketing
When you want your message to reach a specific population or when you want to promote a specific event or program, we can help. Please contact the PR office about help in developing a marketing plan – what’s your goal, who you want to reach, how you will communicate with them and what you want to say, what you want them to do, what your timeline is, etc.

Printing and Publications Development
Departmental brochures are designed in a standard format to all look like they come from the same institution. Information included in departmental brochures includes philosophy, description of the basic program, listing of required courses, contact phone number, and 3-4 photos. We can help you put copy together, but we will rely on you to provide the “meat” of the narrative in the brochure. We can shoot photos for you or you can check our files for high quality, appropriate images. These brochures are printed in black and white.

Media Relations, Publicity and News Releases
The KCTCS Public Relations' News Bureau is your best source for help in promoting your special project, grant, event and or presentation. The staff offers a wide range of communication resources and has developed strong media contacts throughout the state and region.

To effectively communicate with the media, please remember these three steps:

  1. Figure out your selling points. Figure out what the selling points are as well as the two or three key messages you want to convey about your program or event. Develop a list of concise, descriptive talking points that will grab the attention of journalists.
  2. News Bureau will target the right people and outlets. Please give us advanced notice of an event so we can plan the publicity accordingly.
  3. News Bureau will follow up. Besides local newspaper, TV and radio, there are other opportunities to place your story. KCTCS news sources include state, regional, and national outlets, as well as internal publications.

Internal Publications
The Exchange is a quarterly newsletter with 5,000+ distribution that is is sent to faculty and staff across the system. News included must have wide appeal and should focus be focused on the future -- upcoming events, new programs, etc. -- instead of recaps of past news. Online Headlines is a bi-weekly email newsletter that is designed to keep faculty and staff updated on various system news - events, board action, strategic planning, professional development opportunities, college news and other timely topics. OLHL is internal so we also include “family” type news there. If you would like to submit news, email jackie.bondurant@kctcs.edu.

Today's News is a daily email news update designed to provide current news that has been published in various newspapers or other publications. Both systemwide and college news items are included from both national and local publications. Please email items to jackie.bondurant@kctcs.edu.

Photography
The Public Relations Office makes digital cameras available for you to take photographs of your event or program. Reservation of these cameras is handled through the event reservation process in Institutional Advancement. If you require professional photography for a special brochure or event, we can arrange that for you as well. You will be responsible for paying for the services of a professional photographer. We are free, however.

If you want to use a photograph to illustrate a printed brochure or promotional piece, we have an extensive collection of slides and digital photos.

If we don’t have what you want, we can arrange to have a special photograph taken.

Tabletop Display or Promotional Booth
Please contact us to reserve the tabletop display as soon as you know when you will need it. We keep a calendar and sometimes book several months in advance.

If you are unfamiliar with how to set up the display, we will demonstrate that for you in the office prior to the time you will need the display.

Photographs are available for use with the display. They are mounted on foamcore and have Velcro stickers on the back so they will stick to the display. We also have a variety of promotional material you can take with you to distribute.

Publications
A wide range of publications (Annual Reports, System Profiles, District Viewbooks, student recruitment brochures, etc.) are available for conferences, seminars, displays or other events.

Business Cards
KCTCS adheres to a standard format for business cards. Please include the following information:

  • Name as you want it to appear on the card, including suffixes (Ph.D., Ed.D., etc.)
  • Official title
  • Phone number
  • Address
  • E-mail address
  • Fax number
